Create your first items
Why not create all items at once?
Start small. Create your first 10-15 key items first: the ones that most often go missing or cost the most time. After 4-8 weeks, you can add more items.
The key data for each item
Master data (required):
- Item name (e.g. "Stainless steel screw M8x40")
- Item number (e.g. "ESS-M8-40", if you have one)
- Supplier (select from your supplier list)
Packaging unit (important):
- How is the item delivered? (e.g. 1 box = 100 pcs)
- How is it withdrawn? (e.g. 1 bag = 10 pcs)
- repleno converts automatically
Minimum stock and maximum stock:
- Minimum stock: when should repleno reorder? (e.g. 50 pcs)
- Maximum stock: what is the target maximum on hand? (e.g. 200 pcs)
- Rule of thumb: minimum stock = 2-3 days of consumption
Categories (optional):
- Helps with clarity (e.g. "Screws", "Tools", "Chemicals")
- Not required, but useful once you have many items
Step by step
- In repleno, open "Items"
- Select "New item"
- Enter name, item number, and supplier
- Define packaging units (e.g. 1 box = 100 pcs)
- Set minimum stock and maximum stock
- Optional: assign a category
- Save
Done. The item is now ready for scans and automated ordering.
Defining packaging units correctly
Example 1: Screws
- Delivery unit: 1 box = 100 pcs
- Withdrawal unit: 1 bag = 10 pcs
- repleno converts automatically: 5 bags = 50 pcs = 0.5 boxes
Example 2: Tools
- Delivery unit: 1 pc
- Withdrawal unit: 1 pc
- Simple: 1 = 1
Minimum stock: how high?
Rule of thumb:
- Minimum stock = 2-3 days of consumption
- Add a safety buffer (e.g. +20%)
- Start a bit higher, then fine-tune after 4-8 weeks
Example:
- Consumption: 20 pcs per day
- Lead time: 2 days
- Minimum stock: 20 x 3 = 60 pcs (with buffer)
Best practices
- Start with your 10-15 most important items
- Choose minimum stock values generously (safety buffer)
- After 4-8 weeks, analyze consumption and adjust minimum stock
- Use categories once you have more than 20-30 items
In short: Creating an item takes 2-3 minutes. After that, repleno monitors stock and reorders automatically for years, without you having to think about it.
