Why Orders Are Not in Real Time
Bundling Saves Costs and Nerves
repleno doesn't order immediately after every scan. Requirements are first generated when minimum stock is reached or undershot. Requirements are then bundled until a fixed time and subsequently transferred to your suppliers.
This is not a technical limitation, but a conscious decision – for lower costs, less effort, and better planning.
Why Daily Bundling Is Better
Cost Savings:
- Lower shipping costs (one delivery instead of five individual shipments)
- Fewer invoices (one instead of five)
- Fewer minimum quantity surcharges (bulk order reaches minimum order value)
Planning for Suppliers:
- Fixed order times (e.g. daily at 3:00 PM)
- Suppliers can plan routes
- Better conditions through reliable ordering routines
Less Team Effort:
- Unpack one delivery instead of five
- Book goods receipt once instead of five times
- Fewer interruptions in daily operations
Emergencies Can Occur
You handle real emergencies as before: Contact your supplier.
- Critical item is missing
- Trigger order out of sequence
- Request special delivery from supplier or drive there yourself and pick up
After a few weeks, emergencies will noticeably decrease and become the exception. If you continue to struggle with missing parts, then the minimum stocks are set too low.
Best Practices
- Communicate shipping time in the team (e.g. notice: "Order deadline daily at 3:00 PM")
- Document emergencies and analyze after 4-8 weeks (e.g. always the same item → increase minimum stock)
- Involve suppliers (fixed order times facilitate planning)
In short: Bundling saves costs, creates planning, and reduces effort. Emergencies remain possible – but are the exception, not the rule.
