Three prerequisites to clarify before introducing repleno: a responsible person, smartphones in the team, and which stocked items belong in the system at all.


repleno does not run itself. It needs a person who drives the topic, a team that participates, and items whose availability matters.

The three prerequisites

One responsible person. Without clear accountability, no software works. You need someone with a clear role and clear tasks: someone who drives the topic, wants to improve processes, and has the authority to enforce the workflow in the team. This is the admin role.

Smartphones in the team. Withdrawals are recorded via the app. Employees need an Android or iOS device with them, whether out in the field or in the warehouse.

Stock items, not direct procurement. repleno is built for items and material that need to be available and whose stock you want to keep an eye on.

Not suitable for repleno: project-specific direct procurement such as solar modules, inverters, or custom-fabricated components that are ordered once for a project and do not go through the warehouse.

What scope to start with

Not everything at once. Starting with the full catalog leads to master data maintenance before repleno can take hold in day-to-day work.

A solid starting point looks like this:

  • a few main suppliers rather than the entire network
  • the most important items rather than the full range
  • a real daily workflow rather than a theoretically perfect configuration

After the first four to eight weeks, it becomes clear where reorder points need sharpening, routines need stabilizing, and gaps need closing.

What repleno does not replace

repleno does not create a storage structure that does not yet exist. Anyone who has not yet defined zones, aisles, and shelf positions should clarify this before going live. It does not take long, but it needs to be done.

This is where repleno delivers its full potential when searching: is it still in stock? Where is it? Without defined storage locations, you keep searching the same way as before.
